Here are Steps to Create an XML file for Coretax

In fulfilling tax obligations through the Coretax system, taxpayers can no longer use files in Comma Separated Values (CSV) or Portable Document Format (PDF) formats but must use Extensible Markup Language (XML).

To utilize this format, taxpayers can download the templates and converter from the website www.pajak.go.id. Additionally, the Directorate General of Taxes (DGT) has provided guidelines that taxpayers can follow for using the XML templates and converter.

Steps for Creating XML

As cited from the publication provided by the Directorate General of Taxes (DGT), taxpayers must follow several steps when using XML files before submitting them to DGT via Coretax. Here are the steps for each stage:

1. Open the File Converter

After downloading the file converter provided by DGT, open the file using Microsoft Office Excel according to the data to be imported into Coretax. For example, if you need to process a Unified Withholding Tax Certificate file, select the file BPU Excel to XML.xlsx.

2. Fill in the Excel File on the "DATA" Sheet

Next, taxpayers can fill in the Excel file they have opened, particularly on the "DATA" sheet, according to the required data. Descriptions of the data needed in each column can be found on the "REF" or "REFERENSI" sheet.

3. Fill in the Taxpayer Identification Number (TIN) of the Withholder

Taxpayers must input the 16-digit Taxpayer Identification Number (TIN) of the withholder. The Coretax system will validate data such as TIN, the Identity Number of Place of Business Activities (NITKU) of the withholder and the transaction counterparty, Tax Object Codes, and applicable rates.

4. Export XML File on Ribbon Menu

After that, taxpayers can export the Excel data that has been filled in into XML format. To export, taxpayers can select the FILE tab, then select the Option menu. Next, select the "Customize Ribbon" menu, tick the "Developer" menu, and finally click OK.

5. Export XML File in the Developer Menu

The next step, taxpayers can create an XML file on the Excel file by entering the "Developer" menu and clicking "Export". Then a window will appear to save the file, taxpayers only need to select the file name and storage location, then click "Export" and the XML file is ready to be imported through Coretax.

Coretax XML Documents

For reference, the XML documents that can be downloaded by taxpayers are 31 documents divided into six categories, consisting of;

  • Category of Income Tax Withholding Slip Article 21/26
  • Unification Tax withholding slip
  • Invoice
  • Annual Tax Return
  • VAT Return
  • Stamp Duty Tax Return.

Before converting files to XML, taxpayers are advised to prepare and validate the data to be imported, especially the TIN, and NITKU of the withholding taxpayer and the counterparty. In addition, taxpayers should prepare additional tools to convert CSV documents into XML and learn the converter tools from Excel files to formal XML provided by the authority. (ASP/KEN)
